Start with a controlled drawing
A useful request for quotation lets an engineering team understand what must be made, what may be discussed and how acceptance will be decided. Before sending files, confirm the drawing number, revision and units. Include a readable dimensioned drawing and a three-dimensional model when available. State which file governs if a model and drawing disagree. A model communicates shape efficiently, but it may not carry tolerances, surface requirements, thread notes or inspection obligations.
Describe the commercial context
Separate the immediate order quantity from expected repeat demand. Prototype, first-article and ongoing production requirements may justify different manufacturing routes. Describe the intended application and any known assembly constraints. If your requested delivery date is tied to a project milestone, explain that context while allowing the supplier to review feasibility. A target date is an input to discussion, not evidence that tooling, finishing and inspection can be completed within that period.
Make material requirements explicit
Specify the alloy or material standard that your design actually requires. Avoid relying only on a familiar trade name when chemistry, temper or mechanical properties are important. If alternatives may be considered, say so and identify who must approve a substitution. Material choice interacts with casting feasibility, machining behavior, finishing and service conditions. Any alternative should be reviewed against the complete application, rather than accepted because its name appears similar.
Identify the important interfaces
Mark critical-to-function features, assembly datums and dimensions that affect fit, sealing or alignment. Explain the purpose of an unusual tolerance where practical. This allows the process review to distinguish essential requirements from dimensions that may be open to engineering discussion. Do not remove a required tolerance merely to reduce a quote; changes belong in your design-control process. For threads, include the specification, depth and whether inspection or installation of inserts is required.
Define the finish and visible surfaces
Name the requested finish and identify surfaces that must be masked or remain untreated. State cosmetic expectations for visible faces and distinguish those expectations from functional coating requirements. A general color description may not define an acceptance standard. Where a sample or reference is needed, agree how it will be approved. Consider whether finishing changes the allowance available on close-fitting interfaces and how parts will be protected during transport.
Agree evidence before production
List the records you need with the parts, such as material documentation, dimensional reports or first-article records. Specify whether a defined format or customer template applies. Inspection scope and sampling should be agreed explicitly; asking for a report does not by itself define which dimensions must be measured. If an independent laboratory or particular certification is necessary, make that requirement visible before supplier selection and confirm the actual capability and scope.
Package the request for clear review
Use descriptive filenames and remove obsolete revisions from the submission. Include a contact who can answer technical questions and a concise list of unresolved items. If the design is confidential, follow your organization's approved sharing process.
